What is a learning record store (LRS)?

A learning record store (LRS) is a database built to receive, store, and share learning data in the form of xAPI statements. Every statement describes a learning activity as actor, verb, and object: "Anna completed the safety course". The LRS is the technical component that makes xAPI and cmi5 tracking possible, either inside your LMS or as a standalone system.

What an LRS does

  • Receives statements: courses, apps, simulations, and other systems send xAPI statements to the LRS.
  • Stores them securely: every record keeps its context, results, and timestamps.
  • Shares the data: reporting tools, dashboards, and other LRSs can read from it.

Because many sources can write to the same LRS, it becomes the single place where all learning data lands: formal courses, offline training, coaching, and more.

LRS vs LMS: what is the difference?

An LMS manages learning: courses, participants, enrollments, deadlines, and delivery. An LRS does one thing: it stores learning records. The LMS answers "who should learn what, and how do we deliver it?"; the LRS answers "what learning actually happened?". Many modern learning platforms include a built-in LRS, and standalone LRSs exist for organizations that collect data from many systems at once.

Where the LRS fits among the standards

The LRS arrived with xAPI in 2013, as the missing piece that let tracking move beyond the LMS. The lineage runs AICC (1993), SCORM (2000), xAPI (2013), and cmi5 (2016): AICC and SCORM lock tracking inside the LMS, while xAPI and cmi5 send rich statements to an LRS instead.

When do you need an LRS?

  • You track learning outside the LMS: simulations, mobile apps, offline sessions, or on-the-job learning.
  • You use or plan to use xAPI or cmi5 content: both standards require an LRS to receive results.
  • You want one complete learning record: combining data from several platforms into a single picture.

If all your training lives as SCORM courses in one LMS, you likely do not need a separate LRS today.

The LRS in practice for L&D teams

You rarely buy an LRS for its own sake. Start from the question you want answered: what learning happens beyond our courses, and what does it lead to? If the answer points past your LMS, an LRS is the component that makes those experiences visible. Check what your current platform already supports before adding new systems: in many cases, the capability is closer than you think.

Should you choose a built-in LRS or a standalone one?

Let the number of data sources decide. If everything runs through one platform, a built-in LRS gives you the same login, the same user list and no extra integration to maintain. A standalone LRS earns its keep when you collect statements from several systems at once. Ask both to show reporting on real data, not a sample dashboard.

Who owns the learning data stored in an LRS?

You do, but only if the contract and the setup say so. Learning records count as personal data under GDPR, so check three things before you connect anything: where the servers physically sit, whether you can export every record in a standard format, and who can delete data on request. European hosting keeps that last part simple. Settle it in writing before the first statement lands.

Can an LRS replace an LMS?

No, they solve different problems. An LRS only stores and shares learning records; it does not deliver courses, manage enrollments or send reminders. An LMS does all of that but tracks less detail outside its own courses. Most organizations that need both use a learning platform with a built-in LRS or connect a standalone LRS to their existing LMS.
